Asking the Right Questions
Regardless of the size of an organization, those tasked with preparation
for and management of a crisis should be able to answer the following
six sample questions affirmatively:

If a chemical spill occurs within 20 miles of your
location, can you immediately define whom of your company works or
lives within the defined spill area?

In the above case, can you define immediately what
fixed and mobile assets you have in the area, how they might be
affected, and what your exposure may be?

During a terrorist attack, can you determine
immediately what assets you have that are within the strike zone?

If a hurricane strikes, can you determine whether
your corporate telecommunications network has been affected and
whether the problem is related to power outages, link loss or
physical damage to the equipment?

Since the people affected by the crisis may be
distracted by personal concerns for their family and property, are
you able to immediately dispatch and provide support to people
unfamiliar with the affected area?

If a crisis strikes, how do you know the actual
physical and geographic impact it has on your organization? Can you
determine immediately which of your company's personnel or assets is
within any given circle of disaster impact?

Providing the Right Answers
Most companies have numerous internal sources of data on their
personnel, fixed and mobile assets, costs associated with the assets,
and the location of all of the above. Yet, surprisingly enough,
most companies do not have a centralized repository of the most critical
data at their fingertips so they can manage their personnel and assets
during a crisis - IMMEDIATELY!
Personnel data may be stored in PeopleSoft or some other
Human Resources database. Personnel physical work locations may be
stored in an Operations database or supervisor's spreadsheet. Fixed
assets location may be stored by either Finance in SAP or some other
financial package, while Operations might have the detailed information
regarding mobile assets. The data may be managed by the departments, but
it probably resides under the charge of IT, who would not permit access
by other departments even under duress. Therefore, it is fair to assume
that since HR, Finance, Operations and IT don't use common data sources,
no one in management or operations is able to provide immediate answers
to the sample questions.
